General Terms and Conditions for the registration to the annual congress of the Gesellschaft für Musikforschung (GfM) at the German Historical Institute in Rome 2010 and for the procurement of accomodation and of the events of the cultural programme
A: REGISTRATION
1) The host of the congress is the German Historical Institute in Rome, Foundation of German Humanities Institutes Abroad (DGIA), in co-ordination with the GfM.
The registration for the annual congress of the Gesellschaft für Musikforschung (GfM) at the German Historical Institute in Rome 2010 can be made either online (www.gfm-dhi-rom2010.de) or by post / by fax with a registration form.
The registration is binding. A cancellation is not possible.
For the registration a handling fee of Euro 10.00 will be charged.
The registration online is possible until October 15, 2010. Beyond this date registration is only possible by post or by fax with the registration form.
2. Booking of events of the Cultural Programme provided by the host
a) Concert tickets
Booking of concert tickets must be made together with the congress registration. Additional requests for tickets can be considered only in special cases.
The entrance to the concerts is free of charge. The registration is a precondition for the attendance to the concerts.
An entry in a waiting list does not entitle to concert tickets.
A cancellation of already booked concert tickets is possible. Please contact the congress office as soon as possible before the beginning of the congress per email.
b) Excursion
The Excursion will take place if at least 20 participants per coach have booked in advance. In the case, that all seats are booked out, no entitlement for the procurement of further tickets exists. In the case that the excursion cannot take place, the charge paid in advance will be paid back in cash at the congress office.
In the case of booked-out contingents a waiting list will be created. An entry in a waiting list does not entitle to excursion tickets.
A cancellation of the booking for the excursion is only possible if another participant from the waiting list can be booked for the excursion.
c) Guided Tours
The Guided Tours to the music town Rome will take place if at least 15 participants have booked in advance.The maximum number of participants for guided city tours is 30.
In the case, that these contingents are booked out, no entitlement for the procurement of further tickets exists.
In the case of booked-out contingents a waiting list will be created. An entry in a waiting list does not entitle to tickets for the guided tours.
The entrance to the guided tours is free of charge. The registration is a precondition for the attendance to the guided tours.
A cancellation of already booked tickets for guided tours is possible. Please contact the congress office as soon as possible before the beginning of the congress per email.
The tickets for the excursion, the concerts and the guided city tours will be distributed during the congress at the congress office.
B: PROCUREMENT OF EVENTS OF THE CULTURAL PROGRAMME AND OF THE ACCOMODATION
1. Regarding some events of the Supporting Programme (Concerts, Guided Tours), the host is solely procurer of the services of other providers and therefore procures contracts in the name and on account of the provider. The procured contracts can be subject to AGB of the provider.
This applies to the following events of the Cultural Programme:

Concert at the Villa Massimo
2. Procured Concert Tickets
Booking and payment of concert tickets must be made together with the congress registration. Additional requests for tickets can be considered only in special cases.
For the concerts limited contingents are prereserved. In the case, that these contingents are booked out, no entitlement for the procurement of further tickets exists.
An entry in a waiting list does not entitle to concert tickets.
A cancellation of already booked concert tickets is possible. Please contact the congress office as soon as possible before the beginning of the congress per email.
3. Procured Guided Tour
Booking and payment for the Guided Tour to the Museo Nazionale degli Strumenti Musicali must be made together with the congress registration.
The guided tour through the Museum of musical instruments will take place if at least 20 participants have booked in advance. The maximum number of participants for the guided tour is 30. In the case, that all tickets are booked out, no entitlement for the procurement of further tickets exists. In the case that the guided tour cannot take place, the charge paid in advance will be paid back in cash at the congress office.
In the case of booked-out contingents, a waiting list will be created. An entry in a waiting list does not entitle to tickets for the guided tour.
A cancellation of the booking of the guided tour is only possible if another participant from the waiting list can be booked for the tour.
The tickets for the concerts and the guided tour of the Museo Nazionale degli Strumenti Musicali will be distributed at the congress office together with the congress documents.
4. Hotel / Rooms (Procured Accomodation)
The host has taken care of pre-reserving room-contingents that can be booked only in connection with the registered congress participation. The necessary data will be asked online or by the application form when registering for the congress. The booking of rooms is binding.
In the case that the room contingents will be booked out, the congress participants do not have any right to accommodation service at privileged prices.
A cancellation of already booked rooms is not possible.
C: ONLINE BOOKING/ DIRECT DEBITING
The online payment (credit card or direct debiting) is done exclusively with the connected payment system B+S allPOS.light of the B+S Card Service GmbH. The host affirms that he does not have any access to the data concerning the online payment (credit card number, bank account information).
D: PAYMENTS (during the congress)
Cash Payment is only possible in the congress office (no credit card or EC-card payment possible).
E: CALENDAR OF EVENTS
The host reserves the right to postpone or to cancel individual events (symposiums and free sections) in deviation of the calendar of events that has been given on the flyer, on the homepage, or in the detailed congress schedule. No liability will be taken for any damages suffered by a congress participant resulting from such a postponement or cancellation.
F: USE OF CONGRESS DOCUMENTS
Presentations and congress documents are liable to the German Copyright Act. Rights of use will be transferred exclusively by explicit granting of the right of use in writing.
G: LIABILITY
The contractual and tortious liability of the host is limited to damages of culpable injury of life, body or health and other deliberately or grossly negligently induced damages, and for the rest excluded, except if a liability essential to the contract is broken.
Regarding procured services for other providers, the host shall not be liable for successful procuration of arrangements and performances concerning the cultural program, or for accommodation, nor for the actual and faultless supply of the service.
H: JURISDICTION, PLACE OF FULFILMENT, CHOICE OF LAW
Jurisdiction and place of fulfilment is Bonn. The law of the Federal Republic of Germany is exclusively applicable.
I: JUDICIAL LIABILITY
Only the German version of the General Terms and Conditions of the annual congress of the GfM 2010 in Rome is judicially liable. The English version is merely a service and has no judicial effect.
